“Hustler’s Guide” for registering a business name

If you are starting a small shop, a salon, or an online hustle, a Business Name (Sole Proprietorship or Partnership) is cheaper and faster to register than a Limited Company.  The process to register a business name in Kenya starts with conceptualization of the idea. As we have said time without number you don’t need to reinvent the wheel ,pick what is working elsewhere and make it unique for your target market.

Before you head to e-citizen for registration, think about what you want to call your business , this will shorten your time online.

Prerequisites

Before starting, ensure you have:

  • eCitizen Account: A valid account for the proprietor(s).
  • Identification: Clear scans of Original ID or Passport for all partners.
  • Passport Photos: Recent coloured passport-sized photographs.
  • KRA PIN: Personal PIN of the proprietor(s).

Step 1: Name Search on e-Citizen

  1. Log into your e-Citizen account.
  2. Select the Business Registration Service (BRS) tile.
  3. Click “Make an Application” and select “Name Search.”
  4. Enter your proposed name (e.g., “Juma’s Graphic Designs”).
  5. Cost: KSh 100. If approved, the name is reserved for 30 days.

Step 2: Complete the BN2 Form

  1. Once the name is reserved, go back to the BRS portal and click “Maintain Application.”
  2. Fill in the Business Details:
  1. Nature of Business:(e.g., Retail of clothes, IT Consultancy).
  2. Physical Address:Plot number, building, street, and town.
  1. Owner Details: Upload a clear copy of your IDKRA PIN, and a Passport-sized photo.

Step 3: Payment

  1. The official fee for registering a Business Name is KSh 850 (plus a KSh 50 e-Citizen convenience fee).
  2. Pay via M-Pesa using the instructions provided on the portal.

Step 4: Download Your Certificate

  1. Wait for 2 to 5 working days for the registrar to review your application.
  2. Once approved, the status will change to “Registered.”
  3. Download and print your Certificate of Registration (Form BN3) directly from the portal. No need to visit Sheria House!
